Customer mailbox questions: getting started

What is OfficeQube?

OfficeQube is a platform for business addresses, digital mail management, and related business services at participating locations. Availability and service levels depend on the chosen plan and host location.

How does a digital mailbox work?

Choose an eligible location, subscribe to a plan, complete any required identity paperwork, and give senders your assigned address. Your dashboard can display received mail and available actions such as scans, forwarding or pickup.

Where is my physical mail delivered?

Mail is delivered to the particular participating physical location assigned to your mailbox. The location or designated OfficeQube operations team processes it according to the applicable host agreement.

When may my location begin receiving mail?

Wait for your account activation and all required identity authorizations to be approved. Mail sent early may be delayed or returned.

Can I receive packages as well as letters?

Many street-address mail centers accept packages, but carrier support, prohibited contents, size, storage, and additional handling fees must be confirmed for each location.

How do I sign up?

Review the eligible OfficeQube locations and plan details, register an account, enter your intended recipient name, complete onboarding, and follow the location-specific verification instructions.

Can I add family members or other recipients?

Additional recipients may be available subject to plan limits, separate authorizations, and any required identity verification. Do not send mail to a new name before it is authorized.

Can I register multiple companies under one mailbox?

Business-name and DBA policies vary with the plan, location, and authorization records. Each legal recipient must be approved; some businesses may need a separate mailbox.

Can I have multiple OfficeQube address locations?

Multiple memberships can be managed according to available account features and plan rules. Each location may require its own onboarding and verification.

Who do I contact if my physical mail is missing?

Use OfficeQube support and provide the item, tracking, carrier, destination address and expected delivery date. A location-specific review may be necessary.

What is considered a mail item?

An item is generally a separately delivered letter, parcel or envelope. The exact counting and billing rules will be disclosed in your plan and location fee schedule.

Can I receive faxes?

Fax receipt, phone lines and related tools are separate features and should not be assumed available at every address. Check current services and add-ons.

Mail addresses, legitimacy and business use

Is my mailbox a real street address?

Participating mailrooms use physical delivery sites, but your assigned mailing address also identifies your mailbox or suite. It is not automatically a physical office or place where you conduct business.

How is OfficeQube different from a traditional post office box?

A participating commercial site may receive carriers beyond USPS and provide online mail instructions. Carrier and package availability depend on each address.

Where do I find my exact mailing address?

Use the full address given in your activated account, including any mailbox/PMB information and approved recipient name. A website listing alone is not a complete deliverable address.

Can I use the address to form an LLC or register a company?

A mailing address may be accepted for some business filings, but requirements vary by state, agency and filing type. A CMRA address is not automatically a valid registered-office or principal-office address.

Can I use this as my residential or driver-license address?

A digital mailbox does not establish residency. Government agencies, insurers, banks, and other organizations may require a verifiable residence or physical operating site.

Can I use the address for banking or business insurance?

Approval depends on the specific bank, insurer and applicable laws. They may request a separate physical or principal place-of-business address.

What if I move to another city?

You can ask whether an address change or a new subscription is available; re-verification and mail redirection may be required. Notify important senders directly.

Should I file a USPS change-of-address request?

Review current USPS rules and the delivery eligibility of CMRA addresses. Not all types of USPS change-of-address requests work for every mailbox arrangement; updating senders directly is important.

Can I authorize another person to pick up items?

This may be possible when the location accepts documented authorization and verifies the person collecting mail. Never share account credentials as a substitute for approval.

USPS Form 1583 and identity verification

What is a CMRA (Commercial Mail Receiving Agency)?

A Commercial Mail Receiving Agency (CMRA) is a private business, such as a mailbox center or virtual mailbox provider, that receives U.S. Postal Service mail on behalf of customers. It is not a USPS Post Office. Before a CMRA can receive your mail, you must complete USPS Form 1583 and provide the identification required by USPS to authorize the agency to accept mail for you. Depending on your plan and location, the provider may also offer pickup, scanning or forwarding. A CMRA mailbox is generally identified in your mailing address with PMB or # and your assigned mailbox number; it is not the same as a USPS P.O. Box or a leased physical office.

What is USPS Form 1583?

For U.S. commercial mail receiving agencies, Form 1583 authorizes a qualified provider to receive mail on behalf of the named recipient.

Why is the form required?

It establishes authorized recipients and supports identity safeguards required for commercial mail receipt.

Do I have to complete a Form 1583 for every person?

Requirements depend on which individuals are receiving mail. Follow the current USPS form instructions and the host location's verification process for each authorized recipient.

Which identification documents are accepted?

The current Form 1583 instructions specify acceptable primary and secondary IDs. Provide valid documents that meet the USPS categories; do not substitute unsupported document types.

Do I need a notarized signature?

Use a signing or verification method accepted under current USPS requirements and your designated CMRA. Confirm in-person and remote-notarization options before paying a third party.

Can I use an online notary?

Only when the location accepts the method and it satisfies current applicable requirements. Remote notarization may have a separate charge.

Can I use the mailbox without a U.S. residential address?

Non-U.S. residents may be eligible for certain U.S. mailbox services, but must still complete all verification, provide acceptable identification, and meet applicable rules.

Do I need a company name to file Form 1583?

Individuals may use a mailbox personally without representing an incorporated company. Complete business fields according to your actual status and current form instructions.

How do I submit my identity documents safely?

Use only the secure submission channel specified in your OfficeQube onboarding. Avoid sending ID photographs to an unverified email address.

How long will verification take?

Timing varies with identity checks and the receiving location. The location will confirm approval before you rely on the address for mail.

Does Form 1583 forward mail from my old address?

No. It authorizes the receiving agent. Changing your mailing address with senders or postal authorities is a separate process.

Do Canadian and other international addresses use the same form?

No. Local providers may use different identity, anti-money-laundering and postal rules. Follow the instructions for that specific country and site.

Mail processing, pickup and handling

How do I know that a new item has arrived?

Once the location receives and logs a piece of mail, a notification or dashboard record may be available according to the plan and processing schedule.

Can I see the contents of a letter?

Envelope images and contents scans are different services. Request an open-and-scan action for eligible items, and review any page-based or handling charges first.

Can I request a scan of a large document?

Scan limits and special processing fees depend on size, pages, condition, and site capability. Ask support before sending unusually large volumes.

Does OfficeQube automatically open every envelope?

No. Content scanning is an authorized action, not an assumption about every piece of mail. Review your preferences and the receiving site's procedures.

How do mail pickup requests work?

If pickup is supported at your site, select the applicable item, request or schedule pickup and follow local ID and business-hours instructions.

Are there pickup fees?

There may be location-specific handling or service fees. See the quoted rate or wallet charge before requesting service.

Why would a location charge to release mail?

A pickup fee may reflect staff processing, staging or storage labor. Not all plans and host locations use the same fee structure.

What happens to junk mail?

Handling of flyers and unsolicited mail follows the host location's policy. Do not assume items will be destroyed automatically without a documented policy or authorization.

Can I request shredding?

Where supported, shredding is a separate instruction that may carry a fee. Confirm the item before approving any irreversible action.

How long may I store mail?

Free storage allowances and additional charges vary by plan and location. Arrange pickup or forwarding before long-term storage fees accrue.

What happens if packages are oversized or restricted?

The receiving site may refuse, return or assess special handling charges according to its terms and carrier rules.

What should I do if a letter image is assigned to the wrong recipient?

Report it immediately through support and do not use the information. Processing staff should investigate the assignment and correct access as appropriate.

Can AI automatically summarize my mail?

Eligible OfficeQube features may provide summaries after authorized scans. A summary is for convenience and must not replace review of legal, tax, financial or time-sensitive documents.

Forwarding, shipping and packages

How do I forward a letter or package?

Select the item, supply a destination and request forwarding. Check the available carrier, expected charges, and any handling steps before approval.

Does my monthly subscription include postage?

Unless explicitly stated in the applicable plan, shipping charges, packing supplies and service handling are separate from the membership fee.

Can multiple items be combined into one shipment?

Where the host offers consolidation, you may request packaging of compatible items together. Consolidation and shipping may involve additional fees.

Can I forward to more than one destination?

Individual forwarding requests can have different destinations if supported. Confirm each address and quote before approval.

Can you forward international packages?

This depends on the location, contents, carrier options, country restrictions, customs declarations and taxes. Confirm that the shipment is permissible before requesting it.

Can I specify USPS or another carrier?

Carrier options vary by originating location and item characteristics; the service desk should display or confirm eligible choices.

Is forwarding automatically performed as soon as mail arrives?

Not unless an automatic-forwarding feature has been explicitly enabled and approved for eligible items. Standard processing generally requires member instructions.

Can I buy shipping insurance?

Coverage, declared-value limits and exclusions are carrier- and service-specific. Review the actual shipping quote and carrier terms.

Are there items that cannot be shipped?

Yes. Hazardous, controlled, perishable, restricted or otherwise prohibited goods may be refused under postal, carrier or customs rules.

Who is shown as the sender on a forwarded parcel?

Sender information depends on the participating location and carrier label process; do not assume the underlying original sender remains unchanged.

Pricing, billing, cancellations and wallet

What OfficeQube plans are being considered?

A proposed structure is Mail Lite at $9.99/month, Starter at $19.99/month, Business at $49.99/month and Pro at $99.99/month. These are planning figures, not a substitute for live checkout terms.

What is included with Mail Lite?

The proposed entry tier emphasizes a digital mailbox and notifications, with a smaller allowance and additional handling requests charged on a pay-as-you-go basis.

What distinguishes Starter from Mail Lite?

The proposed Starter tier targets an established business presence with different mail allowances and processing rates. Review available locations and business-name authorization rules.

Does Business include an AI Agent?

The proposed Business tier includes one AI Agent and is marketed at $19.99/month for the first three months, then $49.99/month, subject to final published terms and usage limits.

How many AI Agents are in Pro?

The proposed Pro tier includes two AI Agents, with additional agents priced separately at $49/month each. Exact usage allowances remain subject to the current plan details.

How do wallet charges work?

OfficeQube may charge separately for scans, forwarding, storage, mail handling or other usage. The dashboard should disclose the charge before the request is confirmed.

Do plans include unlimited mail processing?

Do not assume unlimited scans, storage, forwarding, carrier charges, AI model usage or cloud-computer resources. Review plan allowances and the pay-as-you-go schedule.

Why can prices differ between addresses?

Local host expenses, staffing arrangements, geography, service availability, and processing terms can vary. The plan and location pricing displayed at checkout govern.

When does a subscription begin?

Use the effective date and billing schedule disclosed at checkout. Activation of mail receipt may depend on identity verification even after account creation.

Are subscriptions automatically renewed?

Check the renewal and notice provisions presented during subscription. Confirm the next billing date in the account dashboard.

Can I upgrade or downgrade?

Plan changes may be supported through account management, but their timing, prorations and effect on service allowances depend on the plan rules.

How do I cancel?

Use the published account cancellation procedure or support channel, and resolve mail still stored at your location. Redirect senders before service ends.

What is the refund policy?

OfficeQube's final refund terms should be supplied in the membership agreement and checkout. Another provider's return policy does not apply to OfficeQube.

How do I check past charges?

Review your account billing history and wallet activity. Contact support if a charge needs to be investigated.

Business, phone, workspace and international questions

Is a dedicated telephone number included in all plans?

No. Agent lines and verified business calling/messaging depend on plan eligibility and any paid add-ons.

Can OfficeQube AI answer and place calls?

Some AI Agent features are designed for answering and making permitted calls, subject to customer authorization, available carrier integration, and applicable calling rules.

Does my plan include unrestricted SMS?

No. Business messaging and A2P verification may require additional registration, approval, usage charges and carrier restrictions.

Is an OfficeQube address also a coworking membership?

Not automatically. Workspace, room bookings, visitor access and parking may be location-specific paid services.

Is registered-agent service included?

Registered-agent service is a distinct legal function with different address and acceptance requirements. Do not assume it is included in a virtual mailbox subscription.

Can I use OfficeQube outside the United States?

Availability is restricted to partnered or otherwise supported locations. Requirements for documents, payment, postal services and identity verification vary by country.

What is the identity check for a Canadian location?

Canadian providers may apply their own identity rules. Follow that location's current instructions rather than relying on a U.S. Form 1583 alone.

Can a Canadian location be used for business registration?

Eligibility depends on province, entity type, and the registration authority's requirements for an address. A mail-receiving service does not guarantee acceptance.

Does the platform collect facial-recognition templates?

The proposed access-control design uses a member's existing phone biometric unlock for device authentication, rather than storing a new OfficeQube face-template database. Confirm the actual access features supported at each property.

Mail-center, office-building and host partnerships

How can my mail center or office become an OfficeQube partner?

Submit interest through OfficeQube's partner onboarding process. The team should review staffing, address eligibility, CMRA readiness, processing capacity, location economics and available services.

Does OfficeQube operate every physical mailroom?

No. OfficeQube's model includes independent host locations and an OfficeQube-managed option. Responsibilities must be specified in the individual partnership agreement.

Do partners need special hardware?

The starter workflow can use an existing phone/camera/scanner, secure cabinet and web dashboard. Automatic access hardware, lockers and integrations may require compatible equipment.

How do I process mail from a smartphone?

The proposed mail workflow photographs incoming labels or envelopes, matches the authorized recipient, files the physical item and processes pickup/forwarding requests. Operators should correct uncertain AI matches before release.

Can the location show its own branding?

Location listing and co-branding options can be agreed during partner onboarding. No white-label functionality should be promised until enabled.

Is customer data protected?

Use role-based access, secure logins, physical handling controls and data-minimization procedures. Specific security certifications or technical controls should be claimed only after verification.

What is the 50/50 self-managed model?

Under the proposed model the location handles hands-on mail receipt, sorting, scanning, storage and local customer support. OfficeQube provides the customer-facing platform, onboarding and billing. The final revenue split and duties require a signed agreement.

What is the 75/25 OfficeQube-managed model?

Under the proposed model OfficeQube handles substantially more operations while the location provides space, local access and agreed support. OfficeQube receives a proposed 75% share and the property/host 25%, subject to contract.

Can a location change partnership models?

A model transition may be negotiated as volume, staffing and processing capacity change. Update pricing, service-level expectations and member communication before switching.

Are there minimum processing standards?

A practical goal is prompt digital upload with predictable handling windows. Some pilot locations may begin three processing days weekly and progress to daily handling as volume grows; the agreement must specify the actual commitment.

Do we need CMRA status before accepting customer mail?

For U.S. locations receiving mail as an agent for others, applicable USPS CMRA registration and Form 1583/1583-A processes must be completed. The local Postmaster and current USPS requirements control.

What equipment is needed to store member mail?

Use locked, organized storage with clear recipient labels and access records. Capacity should be sized to the location's item volume and defined retention rules.

Can partners choose which mail-handling options they offer?

Available scanning, package, forwarding, pickup and shredding options should be documented by location. OfficeQube must not advertise a service the host cannot perform.

Who handles customer onboarding and payments?

OfficeQube is intended to provide central onboarding, subscription billing, member notifications and reporting, while physical action duties depend on the partnership model.

Is a dedicated employee necessary?

Not always, but each host needs an accountable person or contracted service for physical acceptance and processing. A fully remote/unmanned model still requires a lawful, workable plan for delivery and handling.

How is the host paid?

The agreement should define a revenue base, percentage split, processing-fee allocation, deductions, reporting periods and payment dates. Do not assume every service is shared at the same rate.

Are there volume discounts or multi-location agreements?

OfficeQube may negotiate multi-site terms for a portfolio, franchisor or chain. No discount or territory exclusivity should be assumed without a written agreement.

Does OfficeQube compete with the host?

The intended model is cooperative: the host contributes a physical site and local capacity while OfficeQube brings customers and software. Channel rules and ownership of customer relationships must be negotiated clearly.

Who handles technical or account support?

Platform/account support can be centralized through OfficeQube; location-level fulfillment, damaged deliveries, pickup and access issues require cooperation with the physical operator.

Can I offer parking, visitor access or office bookings?

Those products may be configured independently when the property has authority to provide them and suitable operational controls. Access hardware and booking inventory must be verified before enabling public sale.

How do partners reset passwords or report an incident?

Use approved identity and account-recovery procedures and the designated partner-support path. Report lost mail, unauthorized release or compromised accounts immediately.

What contract length applies?

The signed host agreement controls term, renewal, exclusivity and termination. Avoid assuming another provider's month-to-month policy automatically applies.

How do I close or suspend a location responsibly?

Provide advance notice per the agreement, protect stored mail, stop new subscriptions, coordinate member migrations, and follow applicable postal records and disposition requirements.
